What is your backup process?
The asp data centre procedures include multiple scheduled backups of the complete server farm each day, including all client data. Backups are also done each day to servers at other asp controlled sites. These backups are for internal recovery purposes only and do not affect clients.We still recommend that clients create backups as prompted when closing MYOB, and save a series of these backups on the server i.e. End of Week, End of Month, End of Year. Should you need to restore or access older data for whatever reason, you would then have it available on the server.
asp can provide customers the ability to transfer data to and from their hosted environment via FTP (File Transfer Protocol), which has been used by clients to store a copy of their hosted data at their location as an additional backup. This is an optional extra service, and is an additional $29.35 per month, including GST.
Can we still email invoices from MYOB when it's hosted?
Absolutely. All of your invoices will be sent from the email address you provide us with, and any replies to those invoices will be delivered to your Inbox with the rest of your mail.
How many users can access concurrently?
Hosted MYOB can allow as many uses as you wish, however you will need to license MYOB appropriately - e.g. MYOB Account Right Premier will allow for 3 concurrent users out of the box - more MYOB licenses can be purchased as you require them. You can also setup users that do not require MYOB per se though are required to have access to your centralised information store – and this does not affect your license requirements.
How secure will my information be?
asp considers the secure hosting of your data the most important thing we do. As a result we secure it from both physical and virtual interference. Our aspcentre’s physical location is secured by a vault like door with secure carded access. Our aspcentre’s virtual location is secured by multiple firewalls with high level data encryption.
All asponline Servers run Windows 2008 Server R2, the latest offering from Microsoft plus the latest security updates, applied as Microsoft makes them available. Windows 2008 R2 offers enhanced performance and security when compared to its older siblings.
Your data is also protected by the inherent MYOB security features, such as password protection of your data file, and control of access to areas of your company data.
Where are your servers located?
The aspcentre is located in Adelaide, Australia; within secure monitored premises. The asp server farms are housed within the aspcentre in a controlled environment with card controlled access to authorised asponline team members only. The centre is supported by its own backup generator, failover communications array, redundant environmental controls with safety measures and alert protocols to facilitate the guaranteed uptime of 99.95%.
What up-time can I expect? What happens if the system 'goes down'?
asp provides 99.95% uptime benchmark with unscheduled downtime measured in minutes over the calendar year. All scheduled maintenance occurs with 7 days notice.
What support hours do you offer?
Standard aspsupport is supplied free of charge with all accounts for help and answers to asponline technical issues and questions:

How can others (accountant, bookkeeper etc) access my information?
With 3 or more users, asp will provide one profile setup free of charge with an ongoing free access for your accounting support person or organisation to access your Hosted MYOB. This account will be under your control and direction and they will have the access to the MYOB data file that you determine using the inherent MYOB security protocols. Their account will also be disabled immediately upon your request.
What are the technical requirements (hardware, software, connection type, firewall, etc)?
An Internet connection (broadband recommended & preferred by asp) and a running computer - either Windows (2000 or higher) or Mac OS (X or higher).
Computers running Mac OS or Windows XP or higher can use any existing printer they might have with asponline. Printers with appropriate drivers can be made available to users on other operating systems - please contact us to find out if yours is compatible.
What initial setup is required?
From your perspective, no initial setup is required - all instructions will be provided once account is created. If you are an existing MYOB user, there will be a requirement to transfer your MYOB data file to the asp server farms; if you are a new MYOB user, you can create a new data file in MYOB once your profile is complete and access commenced.
A once-off connection fee of $105.30 including GST allows asp to create a new account and provide a username and password.
Where can I log in from – interstate/international – temporary computers (internet café, hotel etc.)?
Any computer with an internet connection can be used to access asp from anywhere in the world and if you are using a Windows based computer (2000 or higher), there is nothing to install - just open Remote Desktop Connections from the Start Menu, type in the details for the asp servers and then enter your username and password. In some internet cafés there may be a requirement to request that connectivity to asp be allowed and the proprietors are usually willing to oblige. Extra care must be taken with your username and password details logging in to asp and ensuring that they are “cleared” when leaving the borrowed computer.
How do the data files get upgraded to the new MYOB version?
asp will install the new version of MYOB, and make it available to you, at which point you go through the normal upgrade procedure of opening the data file with the new version. We, of course, will be available to aid and answer any queries, though will not partake in the actual data upgrade process as this information is confidential client data, therefore sacrosanct, and requiring the input of the client's MYOB data file passwords, again confidential information that we will not touch.
What happens if we decide to no longer have our software hosted - how do we get our data back?
In the event that the hosting agreement is ceased, all data will be returned within 7 days via registered post, or may be collected from the aspcentre by appointment free of charge.
What additional programs can be installed and accessed? (word, excel, AOS etc)?
Any licensed Windows application can be used once it meets the asp tested applications criteria and appropriated proof of licensing is provided to asp. asp can also provide many Microsoft products under the SPLA (rented software) agreement.Microsoft has recently changed its policy on hosting Microsoft Office software, and an Office license on your local computer no longer entitles you to use Office on the remote server.
What happens if you go out of business?
asp has a third party agreement protecting all clients’ data in the event of a business failure, ensuring that the data can be returned to the client without delay, irrespective of any liquidation or administrative actions.
